AI for clinics: patient booking, records and call review
We build AI for clinics and medical networks that cannot send patient data outside. A voice agent books appointments straight into your EHR, while a private LLM reads documents and reviews calls.
Typical tasks
- 01AI receptionist for bookings
A voice agent answers calls day and night. It sees doctors’ schedules in your EHR and books, moves or cancels visits. Complex questions go to the front desk.
- 02Reminders and confirmations
The agent calls or messages patients the day before a visit. Confirmations and cancellations update the schedule at once. Freed slots can be offered to patients on the waiting list.
- 03Medical records processing
The AI reads referrals, lab results and discharge summaries from other providers. Data is structured for the patient record. Doctors see the summary next to the original.
- 04Front desk call review
Our own LLM reviews every call to the contact center. You see lost bookings, rude replies, wrong prices and the questions patients ask most.
- 05Answers in chat and on the website
A chat agent in WhatsApp, Instagram and the website widget answers about services, prices, locations and test preparation. It gives no medical advice and says so clearly.
- 06Private LLM for the clinic
The model runs on a server at the clinic or on a dedicated server reserved for you. Call recordings and patient documents never reach third-party models.
Data and access requirements
- Health data is special category data under GDPR: processing on dedicated servers, role-based access, DPA and NDA before start, DPIA support.
- EU AI Act and the Medical Device Regulation: the agent books and informs, but does not diagnose or triage. We keep its purpose administrative and confirm the classification with your regulatory lead.
- Integration with your EHR or practice management system through API or HL7/FHIR where available, with no double entry.
- Access audit for patient data and recordings of every call for complaint review.
What we build for this industry
Questions
Which EHR systems do you integrate with?
Any system with an API, webhooks or HL7/FHIR interface. If there is no API, we look at database or file exchange. During discovery we check what your system exposes: schedules, records, payments.
Is this compliant with GDPR?
It can be, when built correctly. A private LLM on dedicated servers processes the data, and nothing goes to third-party models. Access is role-based and every action is logged. We sign a DPA and work under ISO/IEC 27001:2022.
What if a patient describes symptoms?
The agent gives no medical advice. It offers a booking with the right specialist or transfers to the front desk. Urgent cases go to a person immediately, and the agent tells the patient to call emergency services.
What does it cost and when can it launch?
From $5,000 for a turnkey project. Discovery takes 1-2 weeks, the estimate 2-3 days, the build 4-8 weeks with weekly demos. The agent starts with part of the calls while your front desk handles the rest as usual.
Describe the task. The first call is with the founder.
We reply within one business day. 30 minutes to tell you whether it is worth doing and what it costs.
