BAS integration for orders, stock and documents with no manual entry

BAS is an accounting system widely used by Ukrainian companies. We connect it to your website, CRM and AI agents: orders become BAS documents, while stock, prices and payment status flow back. Every exchange is logged and retried.

What hurts

If you run a business in Ukraine, your accountants probably live in BAS. Sales managers take an order in the CRM and retype it into BAS. Then they copy the invoice number and payment status back again.

Web stock is refreshed by a nightly export. Customers buy items that are already gone, and your team calls them to apologise. The old exchange script breaks after every BAS configuration update.

Accounting does not trust automatic exchange because it once created duplicate documents. So they still reconcile by hand. A BAS integration has to be predictable, or it only adds work.

What we build

  • Data map: catalogues, documents and fields that move between BAS and your systems
  • Exchange through the standard BAS OData interface or an HTTP service in a configuration extension
  • Creating sales orders, invoices and shipments in BAS from your CRM, website or marketplace
  • Exporting stock, prices and payment status from BAS on events or on a schedule
  • An external ID on every document, so a retry never creates a duplicate
  • A retry queue for when the BAS database is offline, locked by maintenance or by period closing
  • Daily reconciliation of document counts and totals, with a report to Telegram or Slack
  • Access for an AI agent: look up a counterparty, stock level, balance or order status in BAS

What you get

  • Integration code in your repository and the BAS extension with source
  • Documentation: field map, exchange rules and an error playbook
  • Exchange status panel with the queue, errors and a retry button
  • Test suite covering typical and edge case documents
  • Handover session for accounting and your BAS administrator

How we measure the result

  • Number of orders that reached BAS with no manual entry
  • Time from a CRM order to a BAS document
  • Duplicates and mismatches found in the daily reconciliation
  • Stock difference between the website and the BAS warehouse

Questions

How much does a BAS integration cost?

From $5,000. The price depends on the number of document types, directions of exchange and systems on the other side. Orders and stock with one website cost less than a full cycle with payments, returns and marketplaces. We give a fixed estimate 2–3 days after discovery, once we have seen your BAS configuration.

Which BAS configurations do you support?

BAS Accounting, BAS Small Business, BAS Trade Management, BAS KUP and BAS ERP. We add logic through extensions so the configuration stays on vendor updates. If your configuration is heavily modified, we review it during discovery and tell you the risks plainly.

What do you need from us to start?

A copy of the database for testing, access to the BAS server or web publication, your BAS administrator and an accountant who knows the posting rules. Production access comes only after an NDA and DPA. We work under ISO/IEC 27001.

What happens when BAS is offline or being updated?

Messages wait in the queue and are sent later with retries. Nothing is lost. If an error repeats, the responsible person gets an alert with the error text and the document. After a configuration update we rerun the exchange tests.

How fresh is the stock data?

It depends on database load. Usually we export changes every few minutes or when a document is posted. A full catalogue export runs at night so it does not slow down BAS users during the day.

Who maintains it after launch?

We do, under an SLA. We watch the queue and reconciliation and adapt the exchange after changes in BAS or the website. Code and documentation stay with you, so your team can take it over at any time.
