Vchasno integration for sending, signing and tracking documents in Ukraine
Vchasno is a widely used e-document exchange service in Ukraine. If you invoice Ukrainian counterparties, we connect it to your ERP or CRM. Acts and invoices go out automatically, signing status comes back, and signed files land in your archive.
What hurts
If you run a Ukrainian entity, your accountant builds acts in the ERP, saves PDFs and uploads each to Vchasno by hand. Then they find the counterparty email and send. At month end there are hundreds.
Who has signed and who has not is visible only in the Vchasno dashboard. The sales manager does not know and does not chase the client. Unsigned documents block period closing.
Incoming supplier documents are signed by the director in the dashboard and entered into accounting separately. The signed file and the posting are not linked.

How much does a Vchasno integration cost?
From $5,000. The price depends on document types, directions and systems. Sending acts from one ERP costs less than a full cycle with incoming documents, recognition and reminders. We give a fixed estimate 2–3 days after discovery, once we have listed your document types and signers.
We use SAP or Odoo, not BAS. Does it still work?
Yes. Vchasno provides a documented API, so documents can come from any system. We map your document types to Vchasno fields and return statuses to the same system. E-invoicing for your entities outside Ukraine is a separate project.
Can documents be signed automatically?
Technically yes, if the qualified signing key lives on a server or in a cloud signing service. That is a business and legal decision, not ours. Usually we automate sending and status tracking, and a person signs with one click.
How do we know something failed?
Every send is logged. If the Vchasno API returns an error, the document goes into the retry queue. If the problem is in the details, the accountant gets an alert with the reason and a link to the document.
What do you need from us?
A Vchasno API token for your company, access to a test copy of your ERP or CRM, the list of document types and who signs them. Production access after an NDA; we work under ISO/IEC 27001.
