// AUTOMATION

AI email agent that sorts your inbox, reads attachments and creates tasks in your CRM

AI email and request automation for companies that receive hundreds of emails a day. The agent reads each email and attachment, identifies the request type, extracts data, creates a task in your CRM and drafts a reply.

What hurts

A shared mailbox receives quotes, invoices, complaints and spam all mixed together. Someone has to read every message and forward it. Important emails get lost among newsletters.

Data from each request is retyped into the CRM by hand: route, cargo, dates, policy number. That takes longer than writing the actual reply to the customer.

Customers wait hours for an answer because the email sits unread. A competitor replies first. Nobody can see how many emails are waiting or for how long.

What we build

  • Connection to Microsoft 365, Gmail or any mailbox via IMAP
  • Classification by request type, urgency and customer
  • Data extraction from email text and PDF, Excel or scanned attachments
  • Tasks, deals or tickets created in your CRM with fields filled in
  • Draft replies in your tone of voice for a person to approve
  • Routing to the right owner and response time tracking
  • Dashboard: volume, request types and response time
  • Thread merging, so a customer reply does not open a duplicate request

What you get

  • Working AI agent connected to your mailboxes and CRM
  • Configured categories and routing rules
  • Test set of emails with reference classification
  • Source code, access and documentation
  • Team training on the queue and drafts

How we measure the result

  • Time from email receipt to first reply
  • Share of emails classified with no human touch
  • Share of CRM records created automatically
  • Emails left unanswered beyond the target time

Questions

How much does an AI email agent cost?

From $5,000. The price depends on the number of categories, attachment types, your CRM and whether you need draft replies. We give a fixed estimate after discovery on a sample of your emails.

Does the agent reply to customers on its own?

By default it drafts and a person sends. For simple standard requests, such as acknowledging receipt, you can allow automatic replies. That decision is yours.

What if the agent picks the wrong category?

AI sometimes gets it wrong, especially on mixed emails. Messages with low confidence go to a shared queue for manual sorting. Corrections from your team are used to improve classification.

Is it safe to give you mailbox access?

Access is limited to the mailboxes and scopes needed. Emails are processed by our own LLM on our servers, not by third-party models. NDA and DPA are signed before access, and we hold ISO/IEC 27001:2022.

How long does it take?

Usually 3–6 weeks. The agent first runs in suggestion mode alongside your team and we compare results. Once quality is confirmed we switch on automatic task creation. It works with HubSpot, Pipedrive, Kommo and custom systems with an API.
