RPA for legacy systems: a software robot works in the old interface instead of people

RPA for legacy systems that cannot be replaced quickly. The robot opens the old interface, enters data, clicks buttons and collects the result just like a person would. Every action is logged.

What hurts

Your core system has run for twenty years and has no API. Replacing it is expensive and slow. So people move data by hand between it and newer tools every day.

Operators spend hours repeating the same sequence: open a screen, enter a number, copy a field, paste it elsewhere. Errors are inevitable and the work burns people out.

You tried scripts and macros already. They break with every interface update, and nobody notices until the data no longer matches.

What we build

  • Process analysis and step by step recording of operator actions
  • Playwright robots for web interfaces or Windows desktop automation
  • OCR for fields that cannot be read any other way
  • Orchestration with a task queue, retries and timeouts
  • Result checks after each step and a stop on mismatch
  • Screenshots and an action log for audit
  • Alerts on interface changes or failures
  • Runs scheduled outside working hours so the robot does not get in the way of operators

What you get

  • Working RPA robots on your servers or a dedicated machine
  • Process and robot scenario documentation
  • Source code, access and deployment guide
  • Dashboard of tasks, errors and run times
  • A plan to move to an API if the system ever gets one

How we measure the result

  • Operations performed by robots instead of people
  • Share of tasks completed with no errors
  • Time from an interface change to robot recovery
  • Data mismatches between systems

Questions

How much does RPA cost?

From $7,000. The price depends on the number of processes, web or desktop interface, access controls and volume. We give a fixed estimate within 2–3 days after discovery.

Why not replace the system right away?

Replacing a core system takes months and carries risk. RPA delivers in weeks and does not touch the system itself. You can plan modernisation in parallel while the robot removes the routine now.

How reliable is RPA?

RPA is more fragile than an API because it depends on the interface. That is why the robot checks every step, stops on mismatch and sends an alert. We update scenarios after interface changes under an SLA.

Do we need to buy an RPA licence?

Usually not. We build robots on open tools such as Playwright, so there is no per robot licence. If you already run a commercial RPA platform, we can work inside it.

How do you handle access security?

The robot uses a separate account with minimal rights, and passwords are stored as secrets. All actions are logged with screenshots. NDA and DPA are signed before access, and we hold ISO/IEC 27001:2022.
